TCV takes our responsibility to everyone who entrusts us with their personal data very seriously. This notice outlines what data we may collect, how we may use it, how we protect your data and what are your rights. This notice includes any data we collect from you during your relationship with TCV.

This may include:

  • any paper forms you fill out

  • forms via our website OR online surveys

The Types of Data We Collect

We collect only the personal details needed to fulfil the service you expect from TCV.  Depending on the service, the information required may include:

  • Contact details to allow communication with you regarding the service or product TCV is providing to you,
  • Health, disability, behavioural and offending history details sufficient to ensure the safeguarding and safety of yourself and OTHERS while volunteering
  • Information to improve customer service
  • Demographic, attendance and narrative information to enable us to demonstrate to current or future funders the outputs, outcomes and impact of our programmes and products.

Using Your Personal Data

TCV will use your details for purposes including:

  • Fulfilment of orders for goods and services
  • In house research and analysis
  • Disclosures of Your Personal Data

We will not, without your consent, supply any of your personal data to any third party except where:

  • The transfer is to a secure data processor who carries out data processing operations on our behalf
  • We are required to do so by operation of law

If there is a situation, where we are asked to share some of your personal data with Contractors, Funders or a Service supplier we will make sure you are informed, and we will obtain your consent to share your data.  We will make sure your details are safe, secure and only used for the limited purpose you have provided them to us.   

We will not share or sell your personal data to a third-party organisation for marketing or fundraising purposes.

Security of Your Personal Data

We use technical and organisational precautions to prevent the loss, misuse or alteration of your personal data. 

Use of Data Processors

We may occasionally use a third-party company to manage collation, processing and storage of your personal information on our behalf.  We carefully choose these companies making sure they are screened to maximise protection of your security and privacy.  They are permitted to use the data in accordance with our instructions only. 

Direct Marketing/Fundraising

We would like to keep you up to date with our activities and include you, from time to time in our marketing and fundraising. We will obtain your consent to contact you by post or email about TCV products or services which we think may be of interest to you.

If you are a member of our Community Network, you may receive information regarding products or discounts or offers.

Any electronic communication will have a link to unsubscribe from future electronic communications, so you can manage your own consent.

We will update your record as soon as we possibly can.  If you tell us that you do not wish to receive marketing, you may still receive transactional and service-based communications confirming and servicing other relationships you have with us.

Your Rights

Under GDPR you have the right to ask us in writing for a subject access request to obtain a copy of the information that we hold about you. Updating Information

If you believe that any of your personal information held or being processed by us is incorrect then please write to Data Protection Officer, TCV, Sedum House, Mallard Way, Doncaster, DN4 8DB or email dataprotection@tcv.org.uk and we will correct it as soon as we possibly can.

The Right to Erasure

If you feel that the personal data, we keep about you requires erasing, please write to the Data Protection Officer, TCV, Sedum House, Mallard Way, Doncaster, DN4 8DB or email dataprotection@tcv.org.uk and we will check whether your requests meets the criteria for erasure set out within GDPR.

The Right to Object

You also have a right to advise TCV to stop processing your personal data unless:

  • TCV can demonstrate compelling valid grounds for the processing, which override the interests, rights and freedoms of the individual; or
  • the processing is for the establishment, exercise or defence of legal claims.
